Clerical officer job description

A clerical officer is a person who handles a wide variety of administrative and clerical responsibilities for a particular employer.

Specific duties differ for each position, but clerical officers generally support the activities of executive staff. Clerical officer positions may be part-time or full-time employment opportunities. Some clerical officers are in volunteer positions.


Clerical officers are also known as clerical assistants, administrative assistants and secretaries. The term clerical officer is more commonly used outside of the United States.

Some clerical officer titles are followed by numbers that indicate the level or pay scale of the position. For example, a clerical officer III position with the National Environment Management Authority in Kenya requires proof of education certifications and proper references.

Education and Experience

Entry-level clerical positions typically require at least a high school diploma and basic administrative abilities such as a specific typing speed, organizational skills and multitasking capabilities.

Certain clerical positions require specific skill sets such as fluency in a particular language or proficiency with select computer software programs. A 2009 survey given by the International Association of Administrative Professionals found that 39 per cent of respondents had an associate degree or higher.


The duties of a clerical officer include everyday tasks such as typing letters, handling billing and invoices, responding to inquiries from the public and scheduling appointments. Other tasks may include supervising other clerical employees, managing office supplies and recording minutes at staff meetings.


For-profit companies, educational institutions, non-profit organisations and government agencies hire clerical officers and administrative/clerical assistants. Some employers require experience or skills specific to a certain field. Clerical officers working at a hospital, for example, may be expected to know medical terms or be familiar with medical billing language.


According to the Bureau of Labor Statistics, the median annual salary of an executive secretary or administrative assistant was £26,019 in May 2008.
